There are a few obvious changes;
Instead of submitting the forms directly from the patient record in IDEAS, you will access a PRISM portal in your internet browser.
errors in form completion will be detected in real-time and you won’t need to wait until the form is returned to find what they are - you won’t be able to submit the form until it is completed correctly
Timeline for installation of PRISM
13 January 2021 | EDI for data submission will be turned off in all clinics by the HFEA. You will not longer be able to submit data. Mellowood will access your servers to disable HFEA form collection and stop HFEA current services. 25 January 2021 | PRISM go live - clinics with stand alone EDI will be able to submit data to the HFEA electronically IMPORTANT - clinics submitting data through IDEAS will not yet be able to submit data. This cannot happen until Mellowood have installed PRISM in your clinic |

When will my clinic get integrated PRISM?
Depending on the wave you are in, it may be some weeks between the EDI is switched off and when you can submit data via PRISM. You will be unable to submit data to the HFEA in that interim period. Rest assured we are working with the HFEA on this, and they are aware that this will be the case.
How will I access PRISM?
Data will be submitted via a new application programme interface (API) that Mellowood will build into IDEAS.
In the old system, you submitted forms from the patient file.
With PRISM, you will navigate from IDEAS to the PRISM portal in your internet browser, where you will log in with your IDEA username and password

Where do i find the error report to find which forms have errors in them and need corrected?
You won’t be able to submit a form if it has an error in it - validation will be built into the API process so that you can correct errors in real time, at the point of submission.
This will reduce the significant effort needed to correct historic errors.
However this does mean that, if you cannot submit a form because of an error, and you need to leave the Portal to double check something, a draft will not be retained.
Mellowood will supply queries and reports to run, which will identify any forms which have not been submitted. This will act as the validation error report used previously.
You will also have a suite of reports giving you better ability to extract and analyse the data from the Register.
How will we keep track of what data has not been submitted during the 'shut down phase?
Mellowood will supply queries and reports to identify outstanding forms which were not able to be submitted during the period of time when no data could be submitted.
What will happen to our old data?
Data in the existing Register will be migrated to the new Register by the HFEA. Any historic validation queries with the data will be flagged to allow you to view, and where necessary, address them .
