This section contains most of the lists that are used in the drop down menus throughout IDEAS. Options can be added to the lists interactively throughout the system, by right clicking and select ‘Edit field’ (for more information follow this link Data Fields - Right Click Options, or by accessing the Lists section (File>System Configuration>Lists).

Only users with specific user Rights can edit Lists.

Adding Items to a List;

  • From the File menu, select System Configuration, then click on Lists.

  • Select the appropriate list from the (upper frame) List section. The name of the list should correspond to the name of the field in the system (e.g. if you want to change options for ‘marital status’, select ‘marital status(demographics)’ from the list).

  • Click the New icon and type the new entry in the Option field. Some lists also require additional details in columns to the right of the "Option" column.

  • Click Save to save the changes, or Cancel to return to the original form

Editing items on a list;

To edit an entry, change the entry in the Option field. Click Save to save the changes, or Cancel to discard the changes.

When editing, all entries throughout the system will take on the new value: if, in a theoretical scenario, you would change ‘yes' to 'no’ this has obviously wide implications.

Deleting a List

  • Select the List you require so that it appears in the Option field

  • Click the Delete icon - you will be offered a confirmation prompt to reduce the chance of accidental deletion

Use this option only in an emergency to prevent data loss.

Merging Items on Lists

E.g. When a city is accidently misspelled and both have been used in IDEAS there is an option called Merge.

Tick the name that you want to delete and click on merge.

All places where this option has been used will now change to the item you have retained i.e. the correct spelling

  • No labels
