IDS2201 Alerts

Patient Alert messages can be generated by users from within a patient file and can be generated for many purposes, for example:

  • Allergies

  • Infectious Diseases

  • Medical Complications

  • Outstanding Balances

  • Consent Reminders

  • Viral Screen Positive

Once created, the messages are visible in the Demographic Slice for the patient (example above).

The alert will be visible on the demographic slice only to the recipients of the alert.

However, a record of all alerts related to a patient is displayed in the “Alerts” section on the patient homepage. This list will include both active and inactive alerts.

Alerts can be generated automatically for Allergies and Medications entered into a properly configured Progress Note. ADD LINK HERE

Creating a New Alert

Click the Alerts button in the IDEAS toolbar to add a new alert to the patient file.

The alert will automatically be associated with the open patient file.

Select the recipients of the alert;

The alert will be visible on the demographic slice only to the recipients of that alert.

It is recommended that alerts be sent to all staff members to avoid confusion , unless there is a reason to restrict the visibility of some alerts to a particular department.

Click the Everyone tickbox and then Add to Recipients List, or start typing ‘everyone’ into the Send To field and press Enter to send alert to everyone in the clinic.

  • Click ‘Send To’ to select recipients.

To send to individual people, departments or positions;

  • Click ‘Send to’ - Specific recipients can be selected here - select multiple people, departments or positions by holding down the CTRL key on the keyboard while clicking the options.

  • Enter the details of the alert and press Save.

To clear the list to correct any errors use the “Clear recipients list” button or manually delete using the keyboard.

 

 

 

Subject

Select an appropriate subject from the drop down list. The subject can also be entered by free text in this field. If you wish to add a new option to the dropdown list, right click on the field and select “Edit list”.

The subject will visible on the patient's Demographic Slice.

Patient

The associated patient will always be, by default, the currently selected patient.

You can change the associated patient if required by pressing the “Patient” button next to the patient name. This will bring up the search window where you can select the patient.

Status

Available options are “Active” (default), “Dismissed”, and “Permanent”.

  • Active orders are currently displayed in the Demographic Slice of the patient file.

  • Alerts can be dismissed when they are no longer relevant and should therefore be removed from display.

  • The status of Permanent alerts cannot be changed and are intended always remain in display in the patient file. Permanent alerts can only be removed by “invalidating” the alert.

Priority

Select the most appropriate priority level for the alert. Options available are: Low, Normal (default), High.

These fields can used for temporary alerts to indicate the date range for which the alert is relevant.

Effective Date

The date on which the alert becomes in effect. Today’s date will always be entered by default.

Expiry Date

The date on which the alert is no longer relevant. It will be automatically removed from display on the patient demographic slice on this date.

Remarks

Enter the description of the alert. You can also add Paragraph Templates to this area to add a templated paragraph to the alert.

Comments

The comments entered in the remarks box cannot be changed after the alert is saved. Comments can be added to the saved alert by clicking the "Add Comments" button at the top of the alert. A window will open where comments can be entered. Once saved, the comments will appear in the main remarks box of the alert along with the creator, date and time the comment was added.

Viewing Alerts

Patient Alerts may be viewed on the Demographic Slice or the Patient Homepage.

Click the alert to view the details, edit the alert or add comments.

Only active alerts appear on the demographic slice. All alerts and their current status will display on the patient homepage.

 

 

Dismissing an Alert

An alert can be dismissed to remove it from display.

  • Open the alert by clicking on it in the patient's demographic slice or from the patient homepage.

  • Select Dismissed from the Status dropdown.

The dismissed alert still appears on the patient homepage.

Deleting an Alert

An alert may be deleted on the same day it was created for cases of data entry error. Open the alert by clicking on it in the patient's demographic slice or from the patient homepage. Click the Delete button. After this time an Invalidate option will be available instead of Delete. Selecting this will deactivate the alert, however, it will still remain on the patient homepage as invalidated.

Orders / Alert Management Module

The Orders/Alerts management module can be used to view and manage Orders and Alerts.

Click on the “Orders/Alerts” management button.

The “Orders/Alerts” window will appear. This window provides a convenient way to manage system wide Orders and Alerts. It can be used to create orders/alerts, view existing orders/alerts.

Rule Based Alerts

 

Rule based alerts are system wide alerts.

These need to be designed and added by trained Mellowood Medical staff. For further information, please discuss with your representative.

Dismissed Alerts

 

  • Double clicking the specific patient Alert will open the Alerts window.

  • Only additional comments can be made to Dismissed Alerts. No other editing functions are allowed.

  • The Invalidate option is removed from dismissed Alerts.

Invalidated Alerts

 

You are only able to invalidate Alerts you have created. The Invalidate option is not available in Alerts created by other staff members.

  • Double click the specific patient Alert

  • Click the “Invalidate” icon at the top of the window. This will open the “Invalidate this alert?” dialog.

  • Click “Yes” to invalidate the alert.

The Alert will now be visible in the Invalidated alerts section of the management window.

If you open the alert, you’ll now see the Invalidate option has been removed. Furthermore, the identity of the staff member, the date and time are annotated in the message section of the Alert.

 

Sent and Received Orders are managed in the same manner as alerts.
