Anonymous Chart Relationship Workflow

This is designed for clinics where there are restrictions on who within the clinic can see the donor code of a donor , and restrictions on where it can be noted

we cannot guarantee that this feature in IDEAS will satisfy the compliance regulations in your country ,and you may wish to modify the way you use the feature to ensure that it meets your requirements.

we also suggest that, if it can be avoided, this workflow and anonymous chart relationship is not used and you do not create 2 records for the same person. If at all possible we recommend using one record per donor and you use the ‘hide donor id’ feature in the gametes tab to render the donor anonymous in the cycle . However we do understand that your countries legal requirements may mean that creating 2 records and using the workflow described here is the most appropriate.

UK CLINICS SHOULD NOT USE THIS WORKFLOW

Suggested usage of this is as follows;

  • create a full donor record to record demographic details of the donor as they are being assessed for treatment, consultations, notes , blood tests etc .

  • also create a minimal donor record just recording the anonymous code for the donor. - it is this record that will be used to document treatment cycles on , and this record that will be linked to recipient cycles

you can then create a relationship called 'anonymous chart ' between these two records (DD - Relationships Tab . there is no ‘anonymous’ tick box because it is not required

The relationship between these two charts means that the donor code does not need to be documented on the full donor record that most of the clinic staff have access to.

you can move from the full chart to the anonymous chart using the relationship link, but you cannot move from the anonymous chart to the full record

 

you should record any treatment cycle activity e.g egg collections, egg storage on the minimal donor record containing the donor code

you could also put extra restrictions on the minimal donor records to ensure that only certain staff have access to that record - please send a ticket to support@mellowoodmedical.com if you’d like to discuss this.

Gametes tab - this should identify the donor by their code , and the ‘hide donor ID’ box be checked

if e.g. thawing frozen donor eggs in the recipient cycle , the oocyte donor filed should identify the minimal record containing the donor code, and the cycle in the
