IDS1903 - Removing/merging a duplicate patient record

There will be times when a duplicate patient has been created in IDEAS.  There are a variety of reasons why this might happen.  Examples include cases where patient was seen under two separate names, a demographics interface has created a duplicate when it could not match to an existing patient, or a user did not search for an existing file prior to entering a new patient.  

Please contact Mellowood Medical Support at support@mellowoodmedical.com and request to have the duplicate patient merged with another patient file.

 Merging the files will transfer any records (ie. appointments, treatment cycles, documents, etc) from the duplicate into the original patient file.  Please provide the patient IDs of the files to be merged and clearly indicate the patient file that should be kept following the merge.  

  • Identify the record to be removed and add a prefix to the name field such as ‘DELETE’ so that you can identify which on you wish to remove during the below process.

  • Go to System>Merge patients

The merge Patient Form will appear.

  • Click the "Select Patient to Get Data From" button:

  • Select the patient and click "Open"

  • Click the "Select Patient to Merge Data Into" button

Select the patient and click "Open"

Don’t merge without “Select Patient To Merge Data Into”

  • Click “MERGE”

  • A popup window will appear, click “YES” button when asked "Are you sure you want to merge the data?"

The cycle data for patient #1 (i.e. the patient selected for "Patient to Get Data From" in step #4) is moved to patient #2's folder. Patient #1 should now be "flagged" as the duplicate patient:

Deleting the first patient record

  • After that delete the 1st patient by giving prefix as “Duplicate” to patient’s surname

  • Go to Window>Command window

  •  

  • Type the following command

LDeletePat=.t.

  • Now make sure you are in the duplicate patient file and press the Delete (Red X) button in the toolbar to remove the record

  • Close the Command Window by clicking the "x" in the top right corner.

  • Alternatively, please contact IDEAS Support to delete the flagged duplicate patients from the database
