Viewing USS in the Patient File
All ultrasound scans can be viewed in the Ultrasound folder. Any ultrasound may be linked to a Treatment Cycle. When viewing the scans in the Ultrasound folder, they are organized according to Treatment Cycle. You may select the cycle from the dropdown to see all the scans associated with the cycle. Ultrasounds that are not related to a cycle (eg. Diagnostic scans, sonohysts) are normally associated with Cycle "None".
You can view all ultrasounds in the patient file by selecting the Display All Treatments option.
Ultrasound scans can be included in treatment plan templates and when a treatment plan is added to a Treatment cycle, the USS in the plan automatically appear in the USS folder.
These events must be confirmed in the treatment plan before the ultrasound record will be available to complete in the patient record
If you have an interface with your Ultrasound scanners, once confirmed in the treatment plan, ultrasounds will appear on the worklist of the scanner machine. Adding planned ultrasound scans to patient records
Navigate to the patient’s record and select the Ultrasound folder option.
Scans associated with a treatment cycle and plan
Ultrasound scans are planned events which can be placed within treatment plans. If a scan is included in a treatment plan, and the plan has been added to the treatment cycle (Tx cycle - Treatment plan tab & sentinel dates ) the planned scan events will be visible in this folder.
There are various investigation types (types of scan) which can be selected from the Investigation drop down. Different data entry fields are provided for each;
Baseline
Gestational
Saline Sonogram
Other
The top table in the ultrasound folder displays the list of scans planned and carried out within the selected treatment cycle.
Planned scans are shown in grey. These scans are planned within the patients assigned treatment plan.
Note: Planned ultrasounds will appear greyed out and read only if the date is in the future. If you are trying to enter information into a scan that appears read only it is either signed off or the record must be confirmed prior to data entry. Press the Scan button at the bottom of the screen and select Confirm. Alternatively, you can press F12 on your keyboard to confirm an ultrasound scan.
Confirming planned scans
To be able to add scan findings to the event (and, if you have an interface, to push the scan to your scanning machine worklist) it must be confirmed.
There are various ways to confirms planned scans;
Confirm the scan to be carried out by left clicking the Scan button at the bottom of the screen and selecting the Confirm option.
place the cursor on the specific planned scan and press the F12 key.
Go to the treatment plan, click edit treatment plan and then right click on the scan event in the plan
Upon confirming the selected scan, the scan will display in blue text
Once the scan has been confirmed the scan details may be entered - Note that unsaved data will display in red.
Click Save in the top tool bar.
Adding planned scans ad hoc - not part of a treatment plan
If the scan is not part of a treatment plan, or you don’t use treatment plans, you will have to manually add the scan to the folder.

Adding or Removing an Ultrasound
Planned ultrasound scans can also be added or removed via Treatment Plans. You can add or remove any ultrasound in Edit Treatment Plan (Treatments>Plan Details). Any scans in the treatment plan will automatically populate the Ultrasound folder.
If the scan was not included as part of a treatment plan it can be deleted from the ultrasound folder be selecting the scan and using the ‘delete’ button .
Signing Off an Ultrasound
In accordance with your clinic's policy, ultrasound records can be Signed off by staff with suitable authority and User rights.
Click the Signoff icon in the bottom left-hand corner of the ultrasound record to open the signoff window. Signing off will make the record read-only so further changes cannot be made.
Signoffs may also be performed from the User Homepage or the Signoff tab on the Management Module.
