IDS4201 Configuration - Treatment modules & plans
In IDEAS, a treatment plan is what you may know as the patient protocol or the patient down regulation and stimulation schedule .
Treatment plan templates can be configured in IDEAS, identifying the drug and dose to be used, the days on which they should be taken, what day the patients will attend for scans and blood tests, throughout their stimulation and luteal support.
Once a treatment cycle is created in a patient record, a treatment plan can then be attached. Once you start to enter sentinel dates in the treatment plan tab, e.g. confirming the date you wish the patient to start their stimulation drug, dates will start to populate the treatment plan (schedule) for various events, rather than you having to calculate these manually.
TREATMENT MODULES - configuration
Treatment modules are individual building blocks of the treatment plan.
Modules are combined to create ‘plans’ which can then be used to manage the patient cycle, and send information to the patient portal about the dates and times that they should be taking their drugs, and also attending the clinic for appointments.
Modules can be created for each ‘phase’ of the patient schedule, although you don’t have to have a module for every phase;
Pre treatment phase
Downregulation phase
Stimulation phase
ART procedure phase
Luteal Phase
Follow up phase
Generally, you will have several variations of modules for different phases, to reflect the treatment protocols used in the clinic. You will want to name each treatment module carefully so that it is clear to the reader what it contains.
Treatment modules can contain any of the below items;
Blood / lab tests
Downregulation drugs
Synchronisation drugs
Stimulation drugs
Trigger drugs
Luteal support drugs
The above items come from the Drugs Tests & Procedures area of System Configuration. For a drug to available in a module, they must have been configured to be available e.g. for a drug to be part of the stimulation module it must be configured as a stimulation phase drug (have that box ticked) - DTP Config. - Drug
ART procedures
Progress notes
Semen procedures
Ultrasound scans
Other event (user defined) - these are set in a list, configured in the Lists section of System Configuration
Creating a New Treatment Module
Go to File>System Configuration>Treatment Modules
Click New
Give your module a name
Select type ‘Treatment Module’
Choose the phase of treatment it is applicable to and how many days of that phase it is applicable to
Click ‘Save’
Entering Treatment module detail lines
When you switch to the “Details” tab you will see a display similar to below:
Click ‘Edit’ to start adding the drugs into your treatment module
you can enter a drug on a day by clicking into that row and then selecting e.g. ‘stimulation regime’ to provide you with the specific list of drugs that have ‘stimulation phase’ ticked in their entry in DTP
Copy record - allows you to add the item you have just entered into multiple days, to save you from having to manually enter it multiple times. Clicking it will show this pop up
NOTE: You specify a range of days using a slash between the two day numbers, not a dash as you might expect. “6/8, 10, 12” tells IDEAS to put the same entry into days 6, 7, 8, 10 and 12.
The upward arrow and downward arrow let you move the item with the entry cursor up or down as you may need.
TREATMENT PLANS - configuration
Creating a treatment plan template using treatment plan modules
Modules can be added individually to a treatment cycle in a patient record , or multiple modules (e.g. a down reg module + stimulation module + luteal phase module) can be added together in a plan.
Plan templates are created in configuration, combining the modules that you have already created.
Go to File>System Configuration>Treatment plans
Click ‘New’
Give your treatment plan a name which will make it easily identifiable.
You can create a generic treatment plan name e.g. Long Protocol , and then you will have to manually adjust the drug dosages once it has been added to a patient treatment cycle or you can create a plan for every dosage e.g. Long Protocol 150, Long Protocol 300 etc, where the dosages will already be set.
You can then identify the modules that you would like to use in this plan by selecting them from the drop downs. The modules available on the drop downs as those that you have created in the ‘Treatment module’ section of configuration
You can see a sumamry of the modules that comprise each plan in the sumamry window at the top of the screen, and can be edited by selecting theplan from the top and then editing the associated modules below.
As throughout IDEAS;
Orange is down regulation phase
Yellow is Stimulation phase
Green is ART phase (ART modules are associated with lab events and LabPLan)
Dark green is luteal phase
Blood Profile Treatment Module
You can create a new blood profile module, identifying a group of blood tests to order in one click.
This can then be added to the treatment plan in the blood test folder and set sample ID.

Ultrasound machine interfaces
If you have an ultrasound machine interface with IDEAS, attaching a treatment plan to a patient treatment cycle allows you to set which days ultrasound scans will happen in the schedule, and then ‘push’ that information to your ultrasound scanner machine to create a worklist of patients scheduled for a scan that day, and when the scan is completed , the information recorded in the scan (measurements and images) is pushed back into the treatment cycle record in IDEAS.
