How to - Link a PN template question to the GPTAL status record (pregnancy history) in the demographic slice - IDS6250

 

The demographic slice at the top of every page in the patient record shows information about pregnancy numbers (the GPTAL status record).

If you create a Progress note template with questions about previous pregnancies and their outcomes (obstetric history), you can link these answers to the GPTAL record in the Demographic slice.

How to link a Progress Note (PN) question to the GPTAL status

The obstetric status questions are usually found in a female history Progress note. However the relevant questions can be added to any Progress note you wish to create and will be linked to the GPTAL status by configuring the progress note template as described in this example.

In this example, the abbreviations mean the number of .. ;

  • G = Previous pregnancies

  • P = Deliveries

  • Sab = Num. of spontaneous abortions

  • Tab = Therapeutic abortions

  • Ect  = Ectopic pregnancies

  • Liv = Live births

  • Pre-term  = Preterm pregnancies

  • Full term = Full term pregnancies

For the selected question ;

  • Select ‘properties’ if you are not already editing the question

  • Select the Special tab:

  • Under Reporting code, select Previous pregnancies.

You can now repeat this process for other obstetric history questions that contribute to the GPTAL status (detailed above)

 

 

 

Automatic updates to the GPTAL status

Once you have added and updated a Progress note linked to the GPTAL status, the status will be updated in the Demographic slice. Now any pregnancies added after the PN completion date, via previous pregnancies or treatment cycles, will now add to the status.

If you add another PN with the same questions, the answers in that record will override all previous values. i.e. the most recent PN linked to the GPTAL status is considered to be the most up-to-date record and any future pregnancies from a subsequent treatment (from an IDEAS treatment cycle record) will be added to that value until another PN is added.

IDEAS calculates gravidity and parity as follows - A woman who conceives and delivers twins is G=1 P=1 Live=2

Template in use - Using the Progress Note to collect the GPTAL information

  1. Open a patient's file and select the Progress Notes folder.

  2. Left click the ' New…' icon on the top tool bar:

  • Select the Progress note template which contains the linked obstetric history questions you have created.

In this example the template name is ‘General History & Information Sheet’

Click Save

A window will appear displaying the Progress note's template.

Answer the questions in the Progress note

The answers to these questions will now be linked to the patient's Status in the Demographic slice.

all or none of the GPTAL questions need to be filled in in the Progress Note

If only some of the questions regarding GPTAL status are completed, an error will be created when trying to save the progress note. This is to avoid data entry mistakes by individual users that would cause the GPTAL as displayed on the demographic slice to be wrong

 

GPTAL questions cannot be applicable to a sub-selection of its definition.

For example if you have a question of "Deliveries - current partner" and "Deliveries - previous partner(s)" IDEAS will take the highest number rather than adding them up. It expects the total number of "Deliveries" and such question to be asked only once in the Progress Note.

To refresh the Status data in the demographic slice either;

  • open and close the hyperlink, or

  • Switch to another option in the Demographic slice
