How-to inactivate a user account
Once a user account is associated with any records in IDEAS (i.e. they have entered data into the system and now have records in the audit history), you will not be able to delete that user account from the system when they no longer work at the clinic. In this case the account will have to be inactivated. Inactivating the account prevents the user from logging in and also removes their name from staff dropdowns throughout the system.
There are two ways to block the user’s access to their account;
The account remains active but the user access is blocked
The entire account is deactivated by adding an ‘end of employment’ date
Blocking a user account could be considered a more temporary solution (maybe the staff member is on a secondment to another department or shouldn’t be accessing IDEAS for a time) whereas adding a termination date could be considered to indicate that the user has left the employment of the clinic. Both of these actions are reversible.
Please note: If the checkbox "This account is blocked" is ticked or Date of termination is filled in that person has no access to IDEAS regardless of other security specifications.
Blocking user access to IDEAS
Go to File>System Configuration>Clinic Medical Staff / administrative personnel
Select the appropriate user account
Check the ‘this account is blocked’
Inactivating a user account
Go to File>System Configuration>Clinic Medical Staff/administrative personnel.
Select the user account you wish to inactivate.
Enter a Date of Termination on the user record. All users with a termination date are considered "Inactive".
Inactive accounts will not be displayed in the Clinic Medical Staff list by default and the staff member will not show on any drop down in the patient records.
Viewing user accounts which have had a termination date completed
Click on the 'Show deactivated persons' option to view these user records.
