PLEASE BE AWARE - THIS PAGE IS IN DEVELOPMENT

Reports are only as accurate as the data entered into IDEAS - they will not identify if you have entered incorrect data

Regular validation is essential - to identify where workflow is incorrect and fields are not being completed

To allow use of General Stats report to validate REGISTRY data

FUTURE - enhances quality of data from SMARTS

ensures smooth running of LABPLAN

We need recommended processes for validating both SMARTS data and date generated through Gen Stats report, as;

  1. not everyone will have SMARTS

  2. Some of the detailed lab data will be more easily viewed in a Gen Stats browse worksheet

VALIDATION

Purpose;

  • To identify missing or incorrect information

  • Consequently identify potential user training needs

  • review treatment types in use

  • Using the Browse function and exporting to Excel sheet. Use the filter function

Examples of validation checks in GenStats report

Are all your treatment cycles being included in your Gen Stats Crystal report?

run the report - are the treatment type column headings match the options you have in your drop down menu in IDEAS? If not, some cycles are not being included in the report.

Some cycles may not be included because they are data exceptions - decide the settings for this, and if you want to include them.

Egg freeze cycle

shouldn’t have data in columns for;

  • sperm source

  • insem data

  • embryo data

  • embryo transfer date

  • pregnancy outcome

TX and cycle should be complete

  • no embryo transfer as T

  • freeze all as reason

If if no egg collection date is present in the data column in any cycle

investigate is there actually was no egg collection, or if the lab events have just been forgotten

if no egg collection happened, cancel the cycle, enter a reason and complete the Tx.

When to complete treatments and cycles - Treatment & Cycle Completion

No embryos transferred column

T means that no embryo transfer happened

F means that the embryo transfer went ahead

No embryos transferred column

T means that no embryo transfer happened

F means that the embryo transfer went ahead

if T in the data column

  • ensure no ET date is present

  • ensure no information about grades and numbers of embryos transferred is present

  • Tx completed is T

If there is no ET date present

  • ‘no embryos transferred column' should be T

  • double check that the ‘embryo transfer’ lab event has not just been forgotten

  • if truly no embryo transfer, ensure that all eggs and embryos have a fate in lab events, then tick no embryo transfer, give a reason and complete the cycle

if no embryos transferred is T in the data column,

  • ensure that the reason given cross references with the lab events data

e.g. if reason is ‘no sperm available’ ensure that there is no insem data, fert check, embryo numbers etc'

failed fert

  • no lab data further than discard after fert check, including any pregnancy data

  • tx and cycle ticked as completed (T in the column)

if no eggs collected

check

  • no lab data further than egg collection,

  • no pregnancy results,

  • tx and cycle ticked as completed (T in the column)

if egg collected number is zero

check

  • that outcome column is no ET, and

  • treatment and cycle are ticked as completed (T in the column)

if freeze all embryos

check

  • no et date

  • tx and cycle are ticked as completed (T in the column)

check that the performed treatment is icsi

if a numbers is in the inseminated eggs column

check that the performed treatment is ivf

if there is a number in the injected eggs or inseminated eggs columns

check that there is a number in the ‘fertilised on Day 1’ column. Even a failed fertilisation will show a 0

(if not, you may have entered the fertilisation check mistakenly on Day 0 or Day 3

if gametes source is donor sperm

check

  • there is no information in ejaculated date column

  • there is a thaw date for semen

check there is a practitioner entered in all fields

 

Broadly review embryo grades for Embryo transfer and review against day of ET

check that the grade format corresponds with the day of transfer e.g for day 5 or 6 transfer, that the grades are in a format corresponding to blastocysts

pregnancy test result is present

if positive,

  • that further outcome is present

  • if ongoing, that live birth outcome is present

  • if not ongoing, that TX and cycle completed

if negative,

  • that no further outcome is present

ensure all pregnancy-related outcomes have an embryo transfer date

 

if there are fetal hearts

ensure that outcome is ‘pregnant’ and that there is lab data

if the final outcome is live birth

ensure that;

there is a pregnant/not pregnant outcome

that there are fetal hearts and sacs recorded.

that the Tx and Cycle are completed
