IDS5904 How-to create a Pro Forma Invoice (Quotation)
A Pro Forma invoice can be thought of as a quotation - providing a written price estimate to the patient based on their recommended treatment, and the billable services it would involve (individual invoice items).
Pro Forma Invoice. A pro forma invoice is defined as a document that states a commitment on part of the seller to deliver the products or services as notified to the buyer for a specific price. It is thus not a true invoice. IDEAS has the ability to download a report/query that can be regularly run to create a Pro Forma Invoice.
Pro Forma Invoice Workflow Overview
The following describes an internal workflow which involves the creation of an invoice, which can be used as a quotation;
Individual invoice items to be associated with a proposed Patient Plan are created and remain within the Billables Items folder until a valid cycle is created.
Until that is achieved a Pro Forma Invoice report is run from the Billable Items folder listing all available items in there. This is the quotation.
The clinic can accept (advance) payments against this Pro Forma Invoice.
Once a valid cycle has been created, such billable items should be associated to the appropriate Patient cycle and attending physician.
A formal Invoice can now be created
Items are created in the Billable Items as and when required. At this stage they might not be able to be associated to the Doctor or the Cycle.
From the Patient file, Go to the ‘Billing’ folder, and click the ‘Billable Items’ tab

The billable Items that have been added can then be used to create the quotation to be given to the patient.
From the Picklist, choose the “Account – ProForma Invoice”
Select the appropriate Billable Items to assign to the ProForma quotation. Then click ‘Run’
Example: Pro Forma Invoice for the items from December but it can be raised for all items if required.
At a certain point the Invoice can now be created of such items that are now associated with the Doctor and the Treatment Cycle.
Select the appropriate Billable Item for the Patient once associated with a cycle and Doctor
Select the Billable Item(s) and choose the ‘Create Invoice’ button
You can then create a quotation for the items particularly associated with an identified treatment cycle and doctor.
