Billing folder - Ledger Card tab
Ledger Card tab
The Ledger Card tab lists all transactions (e.g. payments, invoices, voids, credits) for the patient's file and their item details (where applicable):
This tab allows users to perform a number of actions on the patient's account:
Process Payments
Handle Write-Offs
Issue Refunds
Create Opening Balance records
Issue Credit Notes
Allocate Credit to Invoices
Void Invoices
The ledger card is divided in sections:
The top section will show:
Funding source - Here you filter the items on the funding source.
Action: When invoked it will open up. It is disabled when in Founding source << All payors>> is chosen.
All Ledger Card transactions acknowledge the currently-selected funding source; " << All Payors >> " view is read-only. To add or edit a transaction, select " <<Patient>> " or an Insurer name from the funding source list.
Outstanding balance: This will show the outstanding balance.

Ledger card fields
Each record in the Ledger Card contains the following fields:
ID Number: Unique alpha-numeric identifier assigned to each transaction record. Most ID numbers are prefixed with a character to identify the transaction type:
P - Payments
R - Refunds
C - Credit notes
A - Advanced payments etc. Invoices do not have a character prefix.
Date:
Debit amount: Amount generated (typically) by invoices, refunds, positive opening balance.
Credit amount: Amount generated by payments, credit notes, negative opening balances and advanced payments (legacy records).
Transaction type: Such as refund, payment, invoice, opening balance etc.
The Ledger Card features color-coded fonts to help users identify a record's status (i.e. transactional balance).
Red fonts indicate a positive transactional balance; a debit balance to which credit allocations may be made. A record in red font is usually an outstanding invoice.
Blue fonts indicate a negative transactional balance; the record has a credit balance that can be used to pay an invoice. This typically occurs with credit note, opening balance credit records and advanced payments in legacy records.
Ledger card transactions in red font (debits) and blue font (unallocated credits) can off-set one another. In the following example, unallocated credit transactional balances off-set the debits (invoices) balances resulting in an outstanding account balance of zero:
An entry in black font indicates that the line item currently has a zero transactional balance.
An entry with a green background indicates an invoice with no outstanding balance.
An entry with an italicized font indicates an adjustment:
Functional overview
Ledger Card view's transactions are consolidated; all transactions are displayed.
All internal allocation records (e.g. "Negative Balance Use" records) are no longer visible on the Ledger Card. However, the "Details", "Payment" and "Allocate Credit" dialogs, show all allocation associations.
"Action" menu features options for non-item-specific functions (Payments, Refunds, Write-Offs, Opening Balance):
Use of "Advance" payments has been discontinued, as the presence of an invoice is no longer necessary to accept a payment.
Opening Balance records are not permitted once transactions have been entered for a given patient and funding combination (i.e. Ledger must be blank).
Account credit may be allocated to more than one invoice ; dialogs incorporate a multiple selection grid with dynamic updates of transactional balances.
The item-specific menu features a "Details" option to show related transactions; double-clicking will result in direct navigation to the selected record:
Certain columns are now hide-able:
A "Remarks" column is available: the full remarks may be referenced by double-clicking on the record (a pop-up is displayed):
