IDS2802 Patient location tracking

This feature is available in IDEAS Version 7.0.14.6 and above.

This feature allows users to track patients location within the clinic when they arrive for an appointment.

 

Configuration pre-requisites

you need to define the locations you wish to track, and add them to the location drop down -

You should consider the practicalities of each location in the drop down and if the associated member of staff at that location will be able to/have time to change the location of the patient . it is better to have less locations and better compliance than lots of locations but the flow is not able to be maintained.

Recommended Workflow

In order for this feature to work smoothly the users should follow the correct workflow:

  • Register patients as ‘attended’ in the appointment diary (right click option seen above) and assign a location in the appointment diary through the "Attendance registration"  dialog

  • Change the location of the patient as soon as they enter and leave the wating room or procedure room

  • Indicate that the patient left the clinic if they have competed their last sub-visit.

At the attendance registration dialog, the location can be specified where the patient will be waiting - the location list is editable (Config. - Lists ).

How to change location

If patients have to sub-visit several professionals within a single clinic visit, once their attendance has been registered in the appointment diary, it is possible to change the location after each sub-visit in two ways

  • Through the patient location worklist, using the change location button

  • Through the patient file, using the same button in the Current appointment section.

 

This will bring up the following dialog where the location and time of change (by default current time) can be specific.

After confirming, the patient location worklist will accurately reflect the change. If it falls outside the filter selection (as the user might be only interested in who is waiting in their waiting room), it will disappear from the visible list.

Patient leaves the clinic

When the patient completes their visit, it is necessary to indicate the patient has left the clinic, to remove them from the location tracker list.

As with changing location it can be done through;

  • the patient location tracking list through the leave clinic button

  • on the patient file through the leave clinic button

  • on the appointment roster , and the right click option

 

 

Patient Tracking List

To open this click ‘worklist’ in the tool bar and select the location tracker from the sidebar

 

By default the patient tracking list uses the information provided in the attendance registration workflow described above.

every patient within the clinic who has had a location confirmed in the appointment diary will appear in the list, showing

  • their appointment type

  • the time they arrived

  • the length of time in minutes since their location was confirmed

  • Where that location is

  • if they are in a treatment cycle the day of that cycle , and the phase indicated by colour.

Viewing particular patient groups in the location tracker;

You may want to monitor the location of a particular group of patients , rather than all patients.

 

  • Staff member: This is the staff member the patient has an appointment with

  • Site: If your clinic has multiple sites, you'd like to want to filter on appointments at your site only (prerequisite - roster config must indicate site)

  • Location: If the clinic has various waiting areas, you can focus on those patients waiting in specific location. The location list is an editable list

  • Procedure: select a specific procedure

Double clicking on the list item will open the patient file for the specific patient.

Viewing the patients present in the clinic as an alphabetical list, or based on waiting time duration

For the particular list of patient that you are viewing , you can order by alphabetical order of surname, or by duration they have been in their current location.

Use the radio button to select what you would like to sort by;
