Documents (D) folder - IDS1801

The “Documents” folder can consist of a number of file types (eg. word documents, pdf files, images etc.) that relate to the patient. These files can be scanned, imported or saved as part of a report or mail merge created in the using IDEAS.

Once documents have been saved and stored they can be referred to at any stage. Additional information that relates to the document can be viewed at any time (eg. name, file size, date created, remarks).

Viewing the Documents folder

  • Click on the “Documents” folder. The window to the right will display any documents or files that have already been stored.

Documents Toolbar

Documents can be added;

  • by configuring a report or mail merge that has been run from the patient record to autosave

  • by directly uploading from a pc

  • by scanning and uploading

  • via patient portal

Open document -

  Opens the file using the application that relates to the file type (eg. word documents will open in Microsoft Word, PDFs will open using a PDF reader such as Adobe Reader).

Document can also be opened by double clicking on the title

Properties

View or modify the file properties. The properties window will display the name, file location/name, date the file was created on, the file size, the type of document based on a list that can be defined by each clinic and remarks for additional comments that relate to the file.

Email

to use this feature you must have an email integration configured

 

Send documents/files to the patient or the patient’s physicians (the recipient list is based on contact information provided in the demographics folder) using the default email program used on the computer.

You have the opportunity to add any recipients not listed in the window below once the email opens in your email client.

Export a document

 This allows you to export the document.

Scan Document

This feature must be configured

 

The “Document Scanning” window will open. Files can be scanned directly into IDEAS if a scanner has been installed and is accessible to the workstation. See the section on Scanning for further details.

Add Document

 

The icon will allow you to insert a document.

 

Search Box

 

Use the search to locate a file quickly. This feature is especially useful when a patient as has many files stored in the Documents folder. The search feature acts as a filter, as letters are typed any file names that do not include the letters specified will be removed/hidden until the search box is cleared.

Icons view displays all files in Icon view

(no additional information on the file is given in this view)

Details view displays each file in a row with additional information such as the file size, date created and remarks.

Right click Button

The Document button (located towards the bottom left of the documents window) can be used to carryout additional tasks such as Delete (eg. to remove a file from the patients document folder) as well as some of the tasks already available on the toolbar.
