Lab Product Templates

To associated particular products and their active lot numbers with Treatment Cycles

Prerequisites for using Lab Product templates;

If you are wish to use lab product templates in IDEAS it is essential that the product details are kept up to date in system configuration - IDS6301 - Lab Products. In many jurisdictions traceability of lab products is a requirement for legal compliance, and it is recommended you do a stock take style audit of the data in this section regularly to ensure accuracy.


Configuration of Lab Product templates

These allow you to template which lab products would typically be used in a particular treatment cycle type. Using a template means that you will not have to enter the products used during the cycle individually.

  • File>System configuration>Lab product templates.

  • Click ‘New’ - a blank record will appear in the lower half of the screen

  • Give the template a name

  • and then add the specific product type you would like to include from the drop down - this list is compiled from the product types you have named in the Lab Products and not ticked as ‘discontinued’. See IDS6301 - Lab Products

  • Once the product type is chosen, the particular product name also needs to be selected - again this list is obtained from the Lab Products section of System configuration

To add another product use the down arrow to move to the next row

  • You can create as many templates as you wish and they can be as long or short as you wish - they can be further edited once they are applied

 

Clinics using multi-site databases

pre-requisites

You can allocate a clinic site to a lab product template. This means that, when a user is logged in at a particular site, they can only have access to the templates at that site.

If you have 3 sites, the templates may for each may contain the same product names as all three labs follow the same processes but the lot numbers of the products will be different at each site. Therefore, we recommend that the site that the template is allocated to is also reflected in the name, for ease of management

Note - this configuration MUST be in conjunction with assigning all lab products to a site. This means that you may have multiple copies of a product , each assigned to a different site. See IDS6301 - Lab Products

 


Associating a Lab Product template with a treatment cycle

  •  Go to the Laboratory Details of a patient file.

  • Ensure the correct cycle is selected in the lab details dropdown.

  • Select the Products tab and then press Insert Template.

 

  • Select the appropriate lab product template for that cycle - this will display a list of products

You can adjust the products to be associated with the cycle at this point

  • delete unwanted products by selecting the red X beside the product name.

  • add new items using the down arrow to the next blank row and then select from the drop down

  • Click Save

  • the products from the template will now be listed in the Products tab, with the lot numbers and expiry dates populated from the data in Lab Products section. Multiple product templates can be inserted as required.

  • The goal is to have all products with their lot numbers linked to the treatment cycle. This allows you to query which cycles used a specific product or lot number which is important in the case of product recalls.

Any medium in this list will also be available in the Medium dropdown of all lab procedures, which allow you to associate some products with specific procedures.
