Lab Event - Egg collection/Embryo thaw/Movement in
Pre-requisites
Treatment Cycle must be created in the patient record, with defined treatment type on ‘Intended Treatment’ tab.
Start date and trigger date and time must present in the Treatment Plan tab, and therefore luteal day 0
If the eggs are frozen and to be thawed/warmed, they should be present in the IDEAS cryostore
if a recipient cycle , the donor gametes/embryos must have been ‘donated’ e.g a donate lab event or stored with the purpose ‘for donation’
Get Eggs/Embryos button
The first lab event in all treatment cycles is created by clicking ‘Get eggs/embryos’ from the laboratory details folder;
You will be presented with window showing a number of options - the ones in black are linked to previous IDEAS treatment cycles and will be used most often.
The ones on blue are not linked to treatment cycles. This can be important in reporting. See Thaw cycle requirements in IDEAS and IDEAS PRISM Portal
choose the appropriate option for the type of event you are performing - click below for specific information;
Fresh egg collection
click ‘Normal collection’
For fresh IVF or ICSI treatments, the input screen will default to the egg collection Event type. The day and date will be set to the luteal day 0 date recorded on the treatment plan tab.
Other Event types can be selected, but be aware that IDEAS will check the selected event against a table of internal validation rules when the record is saved. Internal validation rules are in place to prevent inadvertent errors entering the dataset and if a rule is broken, an error message is raised when you attempt to save the data. Some validation rules will prevent you from saving the data.
Complete the egg collection event in a similar way to that shown in the example below - overall event information is collected in the top pane.
Click Apply
day, date , time, embryologist name and number of eggs collected are mandatory, and Apply will not work until these are completed.
Once the data is saved the table beneath the egg collection record will be populated with rows corresponding to the number of eggs collected. In this example, 12 eggs have been collected.
You can record the incubator used for that particular oocyte - select the desired incubator number from the drop down menu (this list is configurable). to quickly fill all rows with the incubator number use this method Toolbar Arrow button - copy entry to next record
Complete the columns as per your SOP (note this grid is customisable and may not look as the screenshot below
The Fate column allows for eggs to be discarded or donated.
The Remarks column is used to record your comments regarding individual eggs.
media and lot number information can be autopopulated if your clinic is utilising the lab products functionality - see IDS6301 - Lab Products
If your microscope is equipped with a digital or video camera, photographs can be taken of individual eggs/embryos. These images are stored within IDEAS and attached to the egg's record. The Photo dialog allows you to display individual images and all images related to the selected laboratory event Attaching Images to Lab Events
Once all data has been entered, click save and close - this returns you to the laboratory details view. The top table will show that eggs have been collected and the date of collection.
Traceability
IDEAS lab events record actions applied to individual eggs. If your laboratory pools eggs together, their separate identities are lost until they are isolated into individual drops or containers. IDEAS is able to group pooled data together as long as these groupings are recorded in the laboratory event record in either the dish or droplet column. The Origin column can also be used to record pooled data. The Location column can be used to record incubator position.
Egg/Embryo thaw
In most cases you will choose the ‘thaw from previous or donor cycle’ option.
If the eggs or embryos were shipped into the clinic and not added using a Gamete In treatment cycle option (the latter is the preferred method) you will need to select the ‘thaw from cryo only’ option.

Recipient Cycles
Select ‘from donor cycle’ or ‘thaw from previous donor cycle’ - this will display any oocytes or embryos which have been donated and are available to thaw.
If you don’t see what you expect to see, go back to the donor cycle.
In a fresh donation cycle there should be a ‘donation’ lab event
In a frozen donation cycle, the oocytes or embryos should have been frozen with the purpose ‘donation for use by others’. The purpose associated with stored material can be changed in the cryomodule - Cryogenic Storage Module
To add robustness to the donate/receive process it is recommended;
that gamete sources are identified in the treatment plan - Tx cycle - Gametes tab
any donated material is ‘claimed’ by the intended recipient - 'Claiming' frozen gametes or embryos for recipient use
a relationship with the donor is created in the recipient record - DD - Relationships Tab
Once the eggs or embryos have been ‘obtained’ by the recipient, use standard lab events to record the next steps.
Gamete/Embryo Movement into the clinic
This type of cycle reports the storage of frozen material transported into the clinic
Obviously you can’t link this cycle to the cycle where the material was stored as this was another clinic so you should choose ‘Lab Events without treatment’
